Logistics Coordinator

About the role

The Logistics Coordinator – Advisor Partnerships supports UJV’s growth by handling all logistical aspects of business development initiatives. You will coordinate industry events, familiarisation (FAM) trips, reporting, invoicing and client gifting to ensure seamless experiences for luxury travel advisors and their exclusive clients.

Key responsibilities

• Organise company participation in networking events, trade shows and conferences, managing invitations, registrations and event materials.
• Develop detailed itineraries for FAM trips, covering flights, accommodation, transport and activities, using FamGuru for itinerary management and agent communication.
• Gather post‑trip feedback, maintain accurate records of client information, bookings, invoices and financial transactions.
• Support client gifting (flowers, e‑gift cards, branded items) and coordinate year‑end gift purchases.
• Assist in webinar preparation, including registration, Zoom setup and material distribution.
• Collaborate with the Head of Business Development and Directors on special projects, override tracking and reporting.
• Run production reports from Tableau and other platforms to support account reviews and client meetings.

Required profile

• 2–4 years of experience in coordination, logistics, events or a related field (hospitality, travel or business‑development support is a plus).
• Strong organisational skills with meticulous attention to detail.
• Ability to work closely with internal teams, partners and external stakeholders.
• Proactive attitude and capacity to manage multiple tasks simultaneously.
