Intake Specialist – Client Support for US Law Firm

About the role

We are looking for a detail‑oriented Intake Specialist to be the first point of contact for clients of a U.S. law firm. The role involves handling client communications throughout the case lifecycle while providing excellent customer service.

Key responsibilities

• Manage inbound and outbound calls with professionalism, empathy, and efficiency.
• Serve as the primary contact for clients with ongoing cases, answering inquiries about case status, next steps, and required documentation.
• Provide clear information on legal processes, timelines, and expectations without giving legal advice.
• Document all client interactions, case updates, and communications accurately in the case management system (CRM).
• Schedule meetings and follow‑up calls.
• Identify urgent client needs or complex questions and promptly escalate them.

Required profile

• At least 1 year of experience in customer service or a similar role.
• Exceptional written and verbal English communication skills (C1 level or higher).
• Strong attention to detail and problem‑solving abilities.

Required skills

• Proficiency with Microsoft Word and Microsoft Excel.
• Experience using a Document Management System or CRM.
