Legal Intake Specialist

About the role

We are looking for a Legal Intake Specialist to be the first point of contact for prospective clients of U.S.-based law firms. Working remotely, you will quickly respond to inbound leads, assess case suitability, and schedule consultations that convert into signed engagements.

Key responsibilities

• Answer incoming calls, emails, and web inquiries promptly, aiming for a 7‑second answer time.
• Gather preliminary case information to determine alignment with the firm’s practice areas.
• Enter and maintain prospective client data in the CRM with detailed interaction notes.
• Obtain required documentation and coordinate initial video consultations, ensuring all parties are prepared.
• Assist clients with technical issues during video calls.
• Conduct consistent follow‑up via calls, SMS, and email to keep leads engaged.
• Provide consultants with all necessary information to run successful consultations.

Required profile

• Excellent listening and verbal communication skills.
• Strong customer‑service orientation with a warm, professional phone presence.
• Exceptional organizational ability and attention to detail.
• Ability to multitask and prioritize in a high‑volume environment.
• Comfortable conducting consultative sales conversations and persistent follow‑up.
• Experience with CRM systems and accurate data entry.
• Prior experience in legal intake, inside sales, or a comparable client‑facing role.
• Reliable internet connection and a quiet workspace for calls.
