Accounting & Banking Specialist
Apex Class Action · San Salvador
Job description
About the role
Apex Class Action, LLC, a US-based third-party class action settlement administrator, is looking for a detail-oriented Accounting & Banking Specialist for its Disbursement department in San Salvador. The role ensures that settlement funds are received, tracked, reconciled and disbursed to the right recipients, in the right amounts and with the correct tax treatment, by court-ordered deadlines. You will work closely with Project Managers, Data, Mail and Support teams and the US banking partner.
Key responsibilities
- Open bank accounts with the US bank, obtain EIN and legal documentation, and maintain W-9 forms and wire instructions.
- Manage account-opening requests and record account numbers, ensuring account and wire details are ready at least 15 days before final hearings.
- Monitor ACH and wire deposits daily, verifying sender, amount and account, and confirm funding.
- Review payment dates, methods, payee counts, tax documents and special instructions against approved case records, and prepare W-2 and 1099 check templates and special payments such as class representative awards and LWDA payments.
- Maintain standardized case folders and filenames, send check runs for Project Manager approval, and run final quality checks on totals, payee counts and duplicates.
- Handle approved reissues within 7 business days, stop payments, address corrections and verified name or beneficiary changes, and reconcile cashed and outstanding checks by case and payee ID, including monthly reconciliation of open accounts.
- Prepare uncashed-check lists, support authorized attorney payments and unclaimed-fund handling, and flag unreconciled payment runs before funds move.
- Record requests, approvals and status changes in ClickUp and Microsoft Dynamics 365, and communicate payment and funding status to Project Managers, Coordinators and class member support.
- Support quarterly and annual US tax returns, payroll tax reporting (Form 941 and Form 940 where applicable), and preparation and reconciliation of W-2, W-3 and 1099 forms, including wage-and-hour settlement tax reporting.
Required profile
- At least 2 years of experience in banking, accounting, finance or related financial operations.
- Hands-on experience with bank reconciliations, transaction processing, account setup, ACH and wire transfers.
- Exceptional attention to detail, organization, ownership and ability to manage high-volume deadlines.
- Advanced written and spoken English and professional Spanish communication.
- Comfortable working onsite.
Required skills
- Strong Excel skills, including data tracking, formulas and reconciliation support.
- Nice to have: check processing, Positive Pay, taxes, fraud monitoring or financial services experience; ClickUp, Microsoft Dynamics 365 or other case and workflow systems; exposure to legal support, settlement administration or tax-related payment processing.
