Maintenance Coordinator

About the role

We are looking for a highly organized and proactive Maintenance Coordinator to support our property management operations. The role involves handling maintenance requests, scheduling vendors, and ensuring repairs are completed efficiently and to standard.

Key responsibilities

• Receive, track, and manage maintenance requests from tenants via phone, email, and property management software.
• Coordinate and schedule maintenance vendors, contractors, and in‑house technicians.
• Follow up on open work orders to ensure timely completion and quality of work.
• Communicate clearly with tenants regarding maintenance timelines and updates.
• Enter and update work orders, vendor notes, and invoices in Rent Manager.
• Assist with vendor management, obtain quotes, and maintain vendor records.
• Review maintenance invoices for accuracy and submit for approval.
• Maintain organized records of repairs, warranties, and maintenance history.
• Support property managers with preventative maintenance scheduling and handle emergency requests.

Required profile

• Previous experience in property management or maintenance coordination.
• Strong organizational and multitasking skills.
• Excellent written and verbal English communication.
• Ability to manage multiple properties and priorities simultaneously.
• Professional phone etiquette and customer‑service mindset.
• Proficient with basic computer tools (email, spreadsheets, document management).

Required skills

• Experience with Rent Manager (strongly preferred).
