Client Experience & Operations Coordinator – Real Estate Media

About the role

We are a fast‑growing real‑estate media agency that helps agents market properties through professional photography, video, drone, floor plans and other listing media. We are looking for a highly responsive, detail‑oriented Client Experience & Operations Coordinator to be the central point of communication between clients, photographers, editors and our internal team.

Key responsibilities

• Respond promptly to client calls, texts, emails and support requests.
• Schedule and coordinate photography, video, drone, floor‑plan and other media appointments, optimizing the calendar for efficiency.
• Confirm property details, access instructions, service selections, deadlines and special requests.
• Communicate clearly with photographers, editors and clients throughout each project.
• Troubleshoot scheduling conflicts, weather issues, access problems, missed expectations and delivery concerns.
• Track every open issue until it is fully resolved.
• Review orders and project details for accuracy before fulfillment.
• Coordinate revisions, re‑edits, reshoots and client requests.
• Update project notes and client records to set the team up for success.
• Follow established processes while identifying opportunities for improvement.
• Protect the client relationship, especially when something goes wrong.

Required skills

• Familiarity with CRM (customer relationship management) software.
