Commercial Property Assistant

About the role

We are seeking a highly organized, proactive, and detail‑oriented Commercial Property Assistant to support a U.S. client’s property portfolio. In this position you will provide administrative and operational assistance to the Property Management team, ensuring smooth day‑to‑day operations.

Key responsibilities

• Code invoices to appropriate expense accounts, resolve discrepancies, obtain lien releases, and manage tenant aging reports, collections, and rent increase notifications.
• Serve as primary tenant contact for maintenance requests, move‑ins/outs, utility transfers, security deposits, and insurance compliance.
• Prepare tenant communications such as welcome letters, possession letters, and notices of non‑responsibility.
• Coordinate routine and preventative maintenance, schedule vendor service requests, and track project communications.
• Prepare service contracts for manager review and collect required vendor insurance documentation.
• Maintain accurate tenant and vendor records, following up on outstanding items.

Required profile

• 1–2 years of administrative support experience; commercial property management experience preferred.
• Strong organizational, time‑management, and multitasking abilities.
• Excellent written and verbal communication with a professional, customer‑service mindset.
• Proactive, adaptable, and comfortable learning new systems and processes.
