Operations & Systems Lead

About the role

The Operations & Systems Lead will own and improve core business operations for a fast‑growing marketplace that connects creatives and companies with curated flexible spaces. The role focuses on analysing existing workflows, designing scalable processes and driving automation and AI‑enabled solutions to support increasing booking volume and market expansion.

Key responsibilities

• Own day‑to‑day booking operations, handling client requirements, logistics, vendors and follow‑up.
• Coordinate relationships and execution across clients, property owners, house managers, vendors, contractors and internal teams.
• Identify repetitive, inefficient or high‑risk processes and design more scalable operational workflows.
• Define requirements, priorities, implementation plans and success criteria for process improvements.
• Lead the implementation, testing and continuous improvement of new operational systems and automated workflows.

Required profile

• Strong experience managing operations in a client‑ and vendor‑driven business.
• Proven ability to redesign and implement operational process improvements.
• Experience handling multiple stakeholders, workflows, priorities and deadlines simultaneously.
• Ability to take initiatives from identification through implementation, measurement and continuous improvement.
• Advanced written and spoken English and strong ownership, organization and independent decision‑making skills.

Required skills

• Practical experience using AI tools such as Claude, GPT or Gemini to execute business operations.
• Working knowledge of ClickUp Automations or comparable workflow platforms.
• Understanding of automation logic including triggers, actions, conditions, branching and exception handling.
• Knowledge of APIs, webhooks, authentication concepts and data exchange between connected systems.
• Experience integrating CRM, project‑management, communication, forms, databases or accounting platforms.
